Clearing VIP prize draw – Terms and conditions
These terms and conditions apply to the Clearing VIP prize draw for eligible students as detailed below. If you wish to be considered for the prize draw to win a year of free accommodation in halls of residence during 2024/25, you agree to be bound by these terms and conditions with the University.
Students hoping to stay in halls of residence during 2024/25 should accept their UoG offer and apply for halls of residence online as soon as possible to secure a place. Students must make the initial £200 payment and set up a direct debit as instructed to secure their place.
Students should not rely on the competition to secure a place in halls, and the University accepts no responsibility for any losses caused where a student has not applied for halls of residence and does not win the prize draw.
Eligibility
To be eligible for the Clearing VIP prize draw, entrants must:
- Register for ‘Clearing VIP’ on University of Gloucestershire’s website (www.glos.ac.uk/clearing/vip/).
- Apply to University of Gloucestershire via UCAS Clearing 2024 for any undergraduate course and accept an offer from the University to begin study in the 2024/25 academic year.
- Apply for halls of residence and accept an offer of accommodation for either a shared townhouse, standard room or enhanced/premium en-suite room at a university-managed halls of residence for the 2024/25 40 week contract. You will need to make the £200 payment and set up a direct debit to secure your room. If you win the prize draw, the £200 payment will be reimbursed within 30 days and the direct debit will be cancelled with no further payments due.
- Sign the licence agreement and agree to the terms of residence for accommodation at the University.
- Successfully complete the enrolment process at University of Gloucestershire during the 2024/25 academic year at the commencement of their course.
Students who have chosen a self-contained studio or one-bed flat are not eligible for the prize draw.
The prize draw is not open to students currently enrolled at University of Gloucestershire. The prize draw is also not open to employees of the University, their families, or any third party directly associated with administration of the prize draw.
Entry to the prize draw
- You will be automatically entered into the prize draw upon registering for ‘Clearing VIP’ on University of Gloucestershire’s website.
- The prize draw is free to enter, non-compulsory and no purchase is necessary.
- A maximum of one entry per person is permitted for the prize draw. However, this prize draw may run concurrently to other prize draws at the University, and entrants may therefore be eligible for entry into more than one prize draw.
- The opening date for entries is 00:01 on Friday 5 July 2024.
- The closing date for entries is 23:59 on Friday 23 August 2024.
Administration of the prize draw
- The prize draw will take place up to 5 working days after the prize draw closing date by random draw performed by a computer process.
- The decision of the University regarding any aspect of the prize draw is final and binding and no correspondence will be entered into about it.
- The University must either publish or make available information that indicates a valid award took place. To comply with this obligation, the University will send the surname and county of the prize winners to anyone who emails [email protected] within one month of the survey closing date. If you object to any of your surname, county and winning entry being published or made available, please contact [email protected]. Notwithstanding, you acknowledge and agree that the University may be legally required to disclose such information to the Advertising Standards Authority or other relevant body upon request.
- The university reserves the right to delay, void, cancel, suspend or amend the prize draw where it becomes necessary to do so.
Prize award
- The winner will be chosen in accordance with the information stated in ‘Administration of the prize draw’ above.
- The winner will receive a full subsidy for their halls of residence rent during the academic year 2024/25 at a university-managed halls of residence for a 40-week contract.
- The subsidy will be applied to their chosen room including shared townhouse, standard room or premium/enhanced en-suite. Students who have opted for a self-contained studio or one-bed flat will be excluded from the prize draw.
- If advanced rent of £200 has been paid during the halls offer acceptance process, this will be reimbursed within 30 days of the prize draw taking place, and no further payments will be taken towards rent for the 2024/25 academic year.
- All other terms and conditions of the halls contract are applicable. Any associated costs, such as those arising from damage, will be charged to your student account.
- At their discretion and depending on availability, the university may offer an equivalent room in either Cheltenham or Gloucester depending on the location of study. The university will not enter into negotiations around the location or room type, and the university’s decision is final.
- The winner will be notified of their prize via their email address no later than 5 working days after the prize draw. Each prize is non-exchangeable, non-transferable and no cash alternative is offered.
- The University reserves the right to replace the prize with an alternative prize of equal or higher value if the circumstances beyond the University’s control make it necessary to do so.
- If the winner withdraws from the University during the 2024/25 academic year, they will be required to vacate the halls of residence within 2 weeks of the withdrawal date. No additional refund will be offered.

No additional refund will be offered. By withdrawing from the University, the winner withdraws their right to receive any further benefit as may have been due as the winner of the Prize.
Liability
- The University accepts no responsibility for entries not successfully completed due to a technical fault, technical malfunction, computer hardware or software failure, satellite, network or server failure of any kind.
- Insofar as is permitted by law, the University, its agents or distributors will not in any circumstances be responsible or liable to compensate any winner or accept any liability for any loss, damage, personal injury or death occurring as a result of a winner taking up the prize, except where it is caused by the negligence of the University, its agents or distributors or that of their employees. Your statutory rights are not affected.
- To the extent permitted by applicable law, the University’s liability under or in connection with the competition or these terms and conditions shall be limited to the cost price of the Prize in question.
Personal data
- Personal data supplied during the course of registering for ‘Clearing VIP’ will be used to administer the prize draw and will be processed by the University in accordance with the Clearing VIP Prize Draw privacy notice. See ‘Administration of the prize draw’ above regarding announcement of winners. You are under no obligation to provide your personal data, but if you fail to do so the University may not be able to administer your entry to the prize draw.
- If you choose to opt-in to receive additional communications from the university by email, SMS, phone or post, your data will be processed by the University in accordance with our website privacy notice.
- We may undertake publicity activities relating to competitions and prize awards. If you are the winner of the prize draw, you agree that University of Gloucestershire may use your first name and town or county of residence to announce you as the winner of this prize draw and for any other reasonable and related promotional purposes.
Governing law
- The prize draw will be governed by the laws of England & Wales and entrants to the prize draw submit to the jurisdiction of the courts of England & Wales.
